Planning a destination wedding in Italy is a dream for many couples, but it requires careful organisation to ensure everything runs smoothly. While some start planning two years in advance, others may have a shorter timeline – and that’s absolutely fine! The key is to stay on top of the important deadlines to avoid unnecessary stress. And remember, last-minute solutions are always possible, so no need to panic!

Step 1: Book Your Wedding Planner (As Soon As Possible!)

Feeling overwhelmed? The first thing you should do is hire a wedding planner. Your planner will be your right hand, your trusted guide, and a source of reassurance throughout the process. She will help you find the perfect wedding venue, navigate Italian suppliers, and handle all the logistics, leaving you free to enjoy the experience.

Step 2: Secure Your Venue (18-24 Months in Advance)

As I always say: the venue comes first. Without it, you don’t have a date! Some of Italy’s most sought-after wedding venues are booked two years in advance, especially for peak season (May to September). If you have a specific date or dream location in mind, it’s wise to move quickly.

💡 Pro tip: Before booking your venue, have a rough idea of your guest list. You don’t want to fall in love with a venue that only holds 50 guests when you’re planning to invite 100!

If you’re planning your wedding within 18 months, don’t worry—there are still fantastic venues available, but flexibility will be key.

Step 3: Book Your Caterer (As Soon As Your Venue is Confirmed)

If your venue does not provide in-house catering, you’ll need to secure a caterer immediately after booking the venue. Catering is a significant part of your budget, so it’s important to know your numbers early on. Italy offers incredible food options, from Michelin-starred experiences to traditional Tuscan feasts, so take the time to find the perfect fit.

Step 4: Secure Your Photographer & Videographer (12 Months in Advance)

Wedding photographs are one of the most valuable investments from your big day—they will last a lifetime. Italy’s top photographers often book up a year in advance, especially in peak season. If you’ve found a style you love, don’t hesitate to secure your date.

💡 Tip: If possible, book your key suppliers between October and May. Italian wedding vendors tend to be slower in responding during peak season, so securing them in the quieter months can save you frustration.

Step 5: Book Your Music & Entertainment (12 Months in Advance)

Music sets the atmosphere for your entire wedding. If you’re getting married on a Saturday or Sunday, it’s essential to book your band or DJ at least one year in advance to ensure you get your preferred choice.

Step 6: Secure Your Florist & Make-up Artist (8-9 Months in Advance)

Florists need time to prepare your floral design and provide accurate quotes, as flower prices fluctuate year by year. The same applies to make-up artists and hairstylists—many of Italy’s top professionals are in high demand, and you don’t want to settle for your second choice because your favourite is already booked.

Step 7: Book Your Celebrant (6 Months in Advance)

If you’re having a symbolic or civil ceremony, your celebrant will need time to personalise your vows and structure your ceremony beautifully. Leave at least six months to ensure a meaningful and well-prepared celebration.
